This week, we took part in The 24th HR Management Conference, which was attended by over 2,500 participants. The event featured fascinating and eye-opening lectures delivered by senior HR executives, alongside an exhibition where about 50 vendors presented their top offerings and innovations in the HR field.
At the conference, we utilized several different features of the Forms-Wizard system to provide a high-quality experience both for our client and for the participants of The 24th HR Management Conference.
Part One: Access Control and Name Tags
At the entrance to the venue, Xmile set up registration stations where participants checked in upon arrival to receive their name tags. Name tags were printed in real time, quickly and efficiently, to process as many participants as possible in the shortest time, minimizing bottlenecks at the entrance.
To streamline the check-in process, participant data was pre-loaded into the system in advance, but on-site staff were available to make corrections or updates as needed, ensuring that all attendees completed the check-in process smoothly.
Part Two: Welcome SMS Upon Arrival
The 24th HR Management Conference also included pre-scheduled one-on-one meetings between participants and representatives from the exhibiting companies.
After completing the check-in process, participants with scheduled meetings received automated SMS messages from the system, including details about the time, location, and contact person for their meeting.
Part Three: Lead Gathering

The lead system allows exhibitors to scan the name tags of participants and instantly receive their contact details as stored in the Forms-Wizard system.
This saves valuable time and resources for busy exhibitors who are swamped with booth visitors but don’t want to miss any potential leads – after all, that’s exactly why they’re at the conference.
It’s important to note that the lead system is easy to use and works directly from the exhibitors’ smartphones, with no need for special devices or app downloads.
